How to Upload a Valid Lease (and avoid delays)

To make sure your lease can be verified successfully, it needs to be complete, readable, and match what we see on your KOHO account.

Required lease details

Your lease must include all of the following (no exceptions):

  • Tenant’s full legal name
    → Must match the name on your KOHO account
    Rental address
    → Full address + unit number (if applicable)

  • Rent amount

  • Rent due date & payment frequency (monthly, bi-weekly, etc.)

  • Lease term
    → Fixed dates or clearly marked as month-to-month

These details are required for our system to automatically verify your lease. All fields must be clearly visible when you upload your document to ensure a successful verification.

If your lease can’t be verified automatically, you can submit it for manual review by our team. Manual reviews may take an additional 3–5 business days to complete.

  • Upload the entire lease, not just one page

  • Double-check names and addresses match exactly


Why is a rental agreement needed for Rent Reporting?

We use it to verify your rent information and share it with Equifax as part of your Rent Reporting. Check your emails or communications with your landlord to find it 👍


How do I upload my rental agreement in-app?

To upload your rental agreement, first download and save the file to your mobile device. We recommend using a PDF for the best results. You can upload files up to 10 MB, and we currently support .pdf and .docx formats.

If your upload doesn’t work, especially if you’re trying to upload photos of your lease, try converting the file to a PDF using the Adobe Acrobat JPG to PDF converter.

If you have multiple documents (such as your lease, addendums, or rent increase notices), combine them into one single file before uploading. We suggest using the Adobe Merge PDF online tool to combine them.

Making sure your document is complete, clear, and uploaded as one file will help avoid delays with verification.


Are handwritten leases accepted?

Sometimes, it depends on your province. We’re required to follow provincial tenancy laws when verifying leases.

Handwritten leases on a blank paper are allowed in:

  • Ontario

  • British Columbia

  • Alberta

  • New Brunswick

  • Yukon, Northwest Territories, Nunavut

Handwritten leases in these provinces are accepted as long as they include all required lease details.

Handwritten leases on blank paper are not accepted in:

  • Quebec

  • Manitoba

  • Saskatchewan

  • Nova Scotia

  • Prince Edward Island

  • Newfoundland & Labrador

These provinces require the official government standard lease form. You can fill out the government lease by hand, but it must be completed on the official provincial form, not on blank paper.

What details are required on all handwritten leases?

Whether your lease is typed or handwritten, it must include:

  • Full legal names of both the landlord and tenant

  • Full rental unit address

  • Rent amount and when it’s due

  • Length of tenancy (fixed-term or month-to-month)

  • Signatures of both landlord and tenant

Leases without signatures can’t be verified.


What happens after I upload my rental agreement?

Once you upload your rental agreement, it can take up to 5 business days for it to be reviewed. If your rental agreement is rejected, it’s usually because some of the information doesn’t match the details in your Rent Reporting account.

If that happens, you have two options:

  • Upload a new rental agreement with the correct information. You can upload the new file directly in the app, and it will take up to 5 business days to be reviewed once submitted.

  • Update your Rent Reporting details in the KOHO app by going to Discover → Rent Reporting → Settings → Rent details, then making sure everything matches your rental agreement.

In some cases, our support team may reach out to confirm your details. If needed, we may ask for supporting documents such as rent increase notices, amendments to your lease, letters or correspondence from your landlord, payment receipts, or sublet agreements to complete verification.


What if I do not have a valid rental agreement?

To use Rent Reporting, you must meet our eligibility criteria and submit a valid lease. If your rental agreement cannot be verified or you don't have a valid lease, your Rent Reporting will be automatically cancelled.
